Lecturers book their own free time

Ask any timetabling office where the weeks actually go and the answer is never the algorithm. It is collecting lecturer availability — hundreds of emails, phone calls and corrections, chased across a fortnight, then keyed into a system by hand and immediately out of date.

Wise Timetable removes that phase entirely. You open the web booking system to your lecturers. Each of them signs in through a browser and books the hours they are free to teach — no installation, no training, no form to email back. Then your administrator opens the desktop console and runs generation against exactly that availability.

There are no thousands of calls, no spreadsheet reconciliation, and no transcription step where errors get introduced. The availability is the constraint data. And nobody can object that they were scheduled at an impossible time, because they entered the times themselves.

It is the same booking system that handles rooms, labs and consultations — you are not buying or configuring a second product. For most institutions this single change removes more calendar time from the timetabling cycle than any algorithmic improvement ever will.

A room falls through at eleven. A lecturer calls in ill. A session moves one building across campus. The question that decides whether your timetabling system is trusted is not how quickly you can fix it — it is how quickly the people affected find out.

Wise Timetable sends a push notification to the phone of every lecturer and every student a change touches, at the moment it is published. Not a digest overnight, not a notice on a web page nobody thought to reload — a notification on the lock screen, in the free iOS and Android apps, naming what moved and where it moved to.

This is worth being precise about, because it is where most timetabling systems stop. The usual way to publish a schedule to a phone is a calendar subscription or a web page, and both are pull media: the phone asks, on its own schedule, and gets whatever is there. Neither can originate a message. A calendar feed can update silently overnight and the student walks to the old room in the morning — technically correct, practically useless. Publishing is not notifying, and only one of them prevents an empty lecture theatre.

The same event also raises an email to the lecturers involved, refreshes the published web pages and the campus displays, and updates the ICS feeds — from the one change, with nothing to announce by hand. Automated tasks run the whole chain server-side, so there is no step anyone can forget on a bad morning.

How an implementation actually runs

Cloud services can be live in a day. The honest answer is that the full process takes a few weeks, most of it spent on your data and your integrations rather than on our software.

  1. Set up

    We host on AWS or install on your own servers, then help you build the initial programme hierarchy and organisational structure. You do not start from an empty database.

  2. Collect

    Import what you already have from Excel, your SIS or an API. For lecturer availability, open the web booking system to your staff and let them book their own free hours.

  3. Generate

    Define constraints, run generation, review the result. Mix automatic and manual placement freely: lock what must not move, let the system solve the rest.

  4. Publish and maintain

    Lecturers verify before release. Then publish to web, mobile, signage and email. Mid-term changes take a few clicks and notify everyone affected automatically.

How long does implementation take?

Cloud services can be set up within a single day. The full process usually runs a few weeks, dominated by data preparation and any integration with systems we have not met before. Training takes three to five days, after which your team is working independently.

Support does not stop at go-live; it continues for as long as you use the system, at no extra cost.

What does it cost?

Pricing starts at EUR 90 per month for smaller institutions and is licensed per independent timetable, not per user or per student. The final figure depends on student numbers, required integrations and overall complexity, because those drive the infrastructure and support behind the licence.

Can we keep some hours fixed and generate the rest automatically?

Yes, and this is how most institutions work. Place the sessions that must not move, lock them individually or lock the entire timetable built so far in one action, and run generation. Locked sessions are marked with a key icon and are never touched. The system schedules everything else around them.

We already have our data. How do we avoid retyping it?

Excel and CSV import covers most cases, XML is supported, and there is a documented REST API for direct integration. Ready-made templates exist for common setups, and custom imports can be mapped to your own file format.

Automated import and manual adjustment can be combined at any point, so you are never forced to choose one route for everything.
